Events which involve HOS/G are generally high profile
and bring their own particular challenges. Pacto Convex
project director, Febiandi Kurniawan, talks to Mimi
Hudoyo about the organization of the recent successful
9th ASEAN Summit in Bali.
The Brief
This is an annual summit which member countries take
turns to host. This is the second time for Indonesia
after the country hosted the event in 1976, which was
also in Bali. Present at the summit were member nations
and delegations from another four countries. The 9th
ASEAN Summit was held in conjunction with Brunei Indonesia
Malaysia the Philippines East ASEAN Growth Area (BIMP
– EAGA) Summit and ASEAN Business and Investment
Summit.
Highlight of the Event
Indonesia president, Megawati Soekarnoputri, and her
husband, Mr. Taufiq Kiemas, hosted a dinner for the
heads of states and their spouses, economic ministers,
foreign affairs ministers and 10 representatives of
the ASEAN Business Advisory Council (ABAC) at the Tampak
Siring presidential palace.
The spouse programme included visits to the Runi Palar
silver house and Puri Bongkasa in Ubud to see the day-to-day
life of Balinese community, including a fashion show
of Balinese traditional costumes which are reserved
for special occasions and a Balinese dance performance.
Entertainment
Indonesia traditional performances were the highlight
of the presidential dinner on October 7. A traditional
kecak performance welcomed the dignitaries upon arrival
at Tampak Siring and the dynamic movements and yells
of the kecak dance helped set the the exciting mood
of the evening.
Torches were lit on both sides of the lanes leading
guests from the gate to the dining room. They were also
placed along the corridor leading to the dining room,
which helped to lighten the way and set the mood of
the evening. The dining room was elegantly decorated
in red and white.
During dinner, the guests were entertained with a variety
of popular songs from Indonesia and other regions by
a Balinese singer.
After dinner, the guests moved to pendopo (a Javanese
model house) to watch the cultural performances. Located
adjacent to the dining room, the pendopo was decorated
in Balinese style. For 90 minutes, the guests enjoyed
a collaboration of various traditional music and dances
performances from Sabang to Merauke with the theme of
Beautiful Indonesia.
The performances were designed to represent the uniqueness
and the diversity of Indonesia’s various cultures.
Widely known for his expertise in creating cultural
composition, Professor I Made Bandem conducted the choreography
and music arrangement, putting Balinese tone into every
piece of the show.
Challenges
Co-ordination and consolidation were very much required
as our client, the National Committee of 9th ASEAN Summit,
consists of a number of parties from various departments.
This included high involvement of security personnel
as the event was attended by country leaders, spouses,
ministers and high-ranking government officials. This
was a chance for Indonesia to show it is a safe destination.
Meeting the challenges
We deployed more resources in some particular areas
of work, including assigning more manpower in certain
areas which were not in our scope of work to make sure
everything was well-managed and co-ordinated.
Moreover, we maintained a close approach to the decision
makers of every area of work to ensure the smoothness
of work.
We were proud the Indonesian government trusted us
to organize such a prestigious event, which required
not only expertise but also all our experience. |
